We collect information strictly necessary for B2B commercial transactions and logistics fulfillment. This includes:
- Entity Verification: Tax Resale Certificates, Business Licenses, and EIN numbers.
- Financial Data: Bank references for credit terms (Net-30) applications.
- Logistics Contacts: Email and phone numbers of Warehouse Managers and Procurement Officers.
2. Use of Information
Data is utilized for the sole purpose of executing wholesale agreements:
- Processing bulk purchase orders (PO).
- Arranging freight or courier shipping.
- Managing inventory allocations and backorders.
3. Third-Party Data Sharing (Logistics & Communications)
To maintain an efficient supply chain, Tidal Coast Apparel shares specific contact data with essential infrastructure providers:
- Freight Carriers: FedEx, DHL, and LTL carriers receive shipping addresses and contact numbers for delivery coordination.
- Transactional Email Processors: We utilize enterprise-grade email providers (including Mailgun and AWS SES) to deliver automated Invoices, Bills of Lading, and Shipment Tracking Updates. These providers process data solely for message delivery.
4. Data Retention
Commercial records, including Invoices and Purchase Orders, are retained for 7 years as required by IRS regulations and corporate audit standards.
